Printing tips for a perfect one-page PDF
Features
- Live preview: the document sits beside the form and redraws as you type, so you see exactly what will print before you print it. There is no Generate button to press.
- Invoice or quotation, on A4, A5 or Letter paper, in a classic or a coloured header-and-footer template, with your own accent colour and your logo.
- Any world currency, with the right number of decimal places for each one, shown either as a symbol or as its three-letter code - clearer when you invoice abroad.
- Unlimited line items with automatic line totals, subtotal, tax and grand total, plus bank or payment details, terms and conditions and a closing thank-you message.
- Nothing is uploaded. The whole document is built in your browser, your entries are kept there if you reload, and you can download a CSV to rebuild the same invoice later.
How to Use
Start with your business name and your client's name - those two are required, everything else is optional. Add a phone number, email, website, addresses and a logo if you want them on the document. Each one appears on the preview as soon as you type it. If you would rather see a finished example first, press "Fill with example" at the top of the form and edit the sample from there.
Pick Invoice or Quotation and set the document number and date - both are filled in for you and can be changed. Then give each line a description, a quantity and a rate. Line totals, the subtotal, the tax and the grand total are worked out as you go. Choose your currency and whether to show it as a symbol or a code, and enter a tax rate between 0 and 100 if one applies.
Use Payment and Terms for your bank or payment details, your terms and conditions and the closing message. If you want a different look, open the Appearance panel at the bottom of the form: paper size (A4, A5 or Letter), the classic or coloured template, the accent colour, and the header and footer colours for the coloured template. These are optional - the defaults already produce a clean A4 invoice.
When the preview looks right, press "Print / Save as PDF" under the document and choose "Save as PDF" as the destination. In the print dialog set Margins to None, Scale to 100% and turn Background graphics on, and you will get a clean single page with none of the surrounding website on it. Press "Download CSV" beside it to save your entries, then use "Upload CSV" at the top of the form next time to bring the whole document straight back.
About This Tool
Invoice Generator builds a clean, itemised invoice or quotation from your business and client details, your line items and your tax rate, with every total worked out for you. The document appears beside the form and updates as you type, so you always see exactly what will print. Choose A4, A5 or Letter paper, add your logo and an accent colour, and pick any world currency. When it looks right, print it or save it as a PDF in one click, or download a CSV so you can rebuild the same invoice next month. Everything runs in your browser - nothing is uploaded.
Frequently Asked Questions
No. The document is on screen from the moment the page opens and updates about a tenth of a second after you stop typing. On a wide screen it sits to the right of the form and stays in view while you scroll, so you can see the effect of every change as you make it. The only button you need is "Print / Save as PDF" at the end.
Yes. Change Document Type to Quotation under Document Details. The heading on the page changes, the amount box becomes "Quotation Total" rather than "Amount Due", and it shows a validity date thirty days after the document date instead of the issue date. Everything else works the same way.
No. The whole thing is built in your browser and never leaves your computer - we never see your business details, your client's name or your amounts. Your entries are saved in that browser only, so a reload or an accidentally closed tab does not lose your work. Press "Clear form" at the top to empty the form and delete that saved copy; it asks you to confirm first, because an invoice holds a client's name and address. The logo is deliberately not saved, as images are too large to keep in browser storage.
Press "Print / Save as PDF" and, in the print dialog your browser opens, set the destination to "Save as PDF" (Chrome and Edge) or use the PDF menu at the bottom left (Safari). For the cleanest result set Margins to None, Scale to 100% and switch Background graphics on, so the coloured header and table rows come through. Only the document is printed - the form, the site header, the adverts and the footer are left out automatically.
Yes. Press "Download CSV" under the document to save everything you entered, including every line item, as a small file on your computer. Next time, press "Upload CSV" at the top of the form and the whole document comes straight back - then change the document number, the date and anything else that differs. It is the quickest way to bill a regular client.
The document is printed as one fixed sheet, so anything past the bottom edge would be silently cut off rather than flowing onto a second page. The warning appears above the preview as soon as your content grows past that point, and disappears again by itself when it fits. Remove a few line items, shorten the terms and conditions, or switch to a larger paper size in the Appearance panel.
